Using Workflow Automation on CircleHQ

Workflow Automation helps you save time and stay consistent by automating tasks, personalising user journeys, and optimising your processes. Instead of manually sending follow-up emails or reminders one by one, you can set up automated flows that run on their own.
Example: If a user opens your email, that might mean they’re interested. You can set up an automated follow-up email with the next step. Or, if someone signs up, they immediately get a welcome email without you lifting a finger.
Getting Started

From your dashboard, go to Workflow.

Choose one of the following:
- Birthday Workflow Template – Quickly Automate Birthday Emails for Your Users.
- New Workflow – build a custom automation from scratch.

Enter a workflow name and description.

Click Create Workflow
Step 1: Set a Campaign Trigger
A trigger is what starts your automation. You can choose between:

Time-Based Trigger Triggers that run at specific times or on a schedule.
→ Specific Date:
- Pick a date, time, timezone, and contact group.
- Click Save Trigger Options.
- Define what happens when the date arrives:
- Send an email (choose subject, sender ID, and template).
- Add Flow Control:
- Wait/Delay (pause before the next step).
- Conditional Split (branch the flow based on user action, e.g., Did they open the email?).
- Repeat these steps to build out your workflow.
- Once ready, click Next, confirm, and your workflow is live.
→ Birthday
- Click Configure Trigger.
- Set the trigger time, timezone, and contact group.
- Create an email from scratch or choose a template.
- Click Next, confirm, and the workflow will send emails automatically on each user’s birthday.
→ Automated Sequence
- Click Configure Trigger.
- Set a time interval (e.g., send every 3 days).
- Define the email steps just like above (subject, sender, template, flow controls).
- Confirm to activate the workflow.

Time-Based Trigger
Triggers that depend on what the user does. You can send follow-up actions when a recipient:
- Opens your email
- Clicks a link in the email
- Responds to a form
Just click the action you want, then follow the same steps: craft the email, set conditions, and confirm the workflow.
Example: If a user clicks on a product link in your email, the system can automatically send them another email with a discount code for that product.
Step 2: Confirm and Launch
- After building your workflow, click Next.
- Review the setup.
- Click Yes to confirm.
- Your workflow will start running automatically based on the triggers you defined.
With Workflow Automation, you can engage users at the right moment, reduce manual effort, and keep processes running smoothly in the background.
